Harbour Cove Apartments in Airlie Beach is our property of the month. This property is a small operation with 14 rooms, however, have achieved big recently. Officially named the property of the decade in Airlie Beach is a great feat and a credit to the organisation and commitment of the managers and owners.
Even a small property gains value by using GuestPoint. The property uses housekeeping reports regularly to keep on top of day-to-day activities and to schedule tasks. This report is easy to generate and will keep your property operating efficiently.
Furthermore, property manager Jamie, recommends keeping weekly financial reports. This allows the property to forecast expected revenue and occupancy by comparing reports to the same time last year.
Two important reporting functions for managers are Average Daily Rate (ADR) and Revenue Per Available Room (RevPAR). ADR must be calculated first, and will simply tell you how much revenue each sold room is selling for on average. While RevPAR will tell you how much revenue you’re bringing in for all your rooms.
These two metrics can be calculated in GuestPoint and serve as a Key Performance Indicator (KPI) in the accommodation industry.

If the occupancy rate is not at 100% and the RevPAR is below the ADR, a property manager knows that they can probably reduce the average price per room to help increase occupancy, and therefore overall revenue.

‘Daily Roll Over’ is a task performed at the end of each day, in which all revenue from that day is grouped together and reconciled. This revenue might include breakfast charges, internet, room charges, conference food etc. The Daily Roll Over process is essential for hotels and motels as it ensures accurate financial reporting. As a result, accounts are balanced and a new day is started!
Follow this guide to perform a standard Daily Rollover in GuestPoint:
Step 1:
‘Roll Over’ can be found in the Management Tab, under Daily Tasks.
Click on Roll Over, then click on ‘Today’s Roll Over’.
A pop-up box should appear with today’s date on it.
Step 2:
To avoid errors, it is advised that you make sure all guests are checked-out before completing the daily rollover. GuestPoint will prompt you to do this if there are any guests still waiting to be checked out.
Click on the Guest’s name, and check out the remaining guests.
Step 3:
Confirm banking. Make sure your banking agrees with the figures shown in GuestPoint. If the figure matches, check the box.
If the accounts do not match the figures, run a transaction report to locate the discrepancy.
Step 4:
Take optional notes. It is advised to take notes on days issues occurred. Most days, you will not need to take notes.
Step 5:
You are ready to click ‘Roll Over’ to complete the process! The daily balance is generated, which can be printed or stored on file.
